We don’t just think about processes on paper. We live and breathe them. Recently, we put the question to our Vice President of Operations, John Solomon. He explained what it means to constantly review, refine, and improve how things get done.

To start John stated, “As leading experts in BPO, we always look for ways to improve customer satisfaction while reducing risk for our client partners. In our aim for operational efficiency, we visit our clients and take steps to review implemented processes and look to refine those processes consistent with the normal course of our customers’ business.” That’s really the heart of it. BPO isn’t about outsourcing for the sake of outsourcing, it’s about creating a smoother path for clients to achieve their goals without getting tangled in inefficiencies or weighed down by unnecessary risk.

Efficiency doesn’t happen from a distance or behind a spreadsheet. It happens by rolling up our sleeves and stepping into the client environment. John goes on to say “There are times when we must take a closer look at the current processes and look to adjust as the business needs of our clients change. As we approach this adjustment, we ask:

  • Does the current process still work efficiently and reduce costs and risk?

  • Does this process meet the high standards of the company?

  • Does this process improve and maintain the level of quality required for the company’s growth acceleration?”

Those aren’t just rhetorical questions. They’re the kinds of checks and balances that allow us to refine BPO solutions so they don’t work just for today. We want them to continue to work as business needs evolve.

John puts it best, saying “The refinements we look to recommend are a direct result of our team leaders taking the time to 

  1. Define the needs of our customers

  2. Measure & Document the current process

  3. Analyze the areas of inefficiency

  4. Improve & Implement the recommended solutions

  5. Control & Monitor the process to ensure updated measures that are, and remain, in place and are effective. 

Utilizing this method assists in eliminating the root cause of errors in business processes, improving quality.”

As John notes, “Complementing our efforts for process refinement are our efforts to retain the highly trained team members we have onsite. Staff retention reduces turnover costs, overhead, loss of tenured organizational knowledge and time lost training staff.”

In the deepest parts of our operations our model is supported with the knowledge that great processes won’t carry a business if there’s constant turnover. Retaining motivated, well-trained team members ensures that all that hard work invested in refining processes doesn’t vanish when someone leaves. Continuity, consistency, and trust are priceless. 

As simple as it can sound, anyone who has hired and managed personnel before knows that none of this is effortless. John concludes “It requires effort to obtain beneficial results, but the results are always well worth the hard work and efforts exerted to obtain professional process improvement from a trusted BPO partner.”
